7 Things to Check Before Approving Your Wedding Invitation Proof
One of the most important steps in ordering custom wedding invitations is reviewing and approving your design proof.
At Raspberry Creative, every custom order includes a proofing stage before anything goes to print. This allows couples to carefully review their stationery and confirm that every detail is correct before production begins.
It’s a step we take very seriously — because once invitations are printed, changes are no longer possible.
Every stationer will work a little differently when it comes to the proofing process, but essentially the point is the same – to make absolutely sure every detail is correct before anything gets printed.
Recently, I experienced a situation that reminded me just how important this step is.
A customer approved a proof and received her order about a month before the event. After the event had already passed, she contacted me saying the date had been printed incorrectly.
When I reviewed the order, the printed date matched the exact date originally submitted with the order and the same date that appeared on the approved proof.
Later, the customer shared that she hadn’t fully reviewed the proof because she had mainly focused on checking the spelling of her daughter’s name. So she had not only reviewed her proof fully like she said she did, she made an error when submitting the order and didn’t double check what she sent to us to use on the design.
This isn’t a finger-pointing exercise or a way for me to embarrass anyone, but I saw it as an opportunity to illustrate in real life how important paying attention to the details actually is. The proofing process is the least “fun” part but it’s essential.
Creating personalized stationery requires dual accountability, which is why we go through a proofing process together. Unfortunately, because the client/customer has the most intimate knowledge of the event (dates, names, locations, etc.), it’s on them to pay extra close attention to these details.
Planning events can be stressful and busy, so it’s easy to miss small details — but moments like this are exactly why reviewing your proof carefully matters so much.
Before approving your wedding invitation proof, here are the seven most important things to double-check.

1. Names
Carefully check the spelling of every name on your invitations.
This includes:
- the couple’s names
- parents’ names (if included)
- hosts or family members
- any names appearing on enclosure cards
Even small spelling errors can easily slip through if they aren’t reviewed carefully.
2. Wedding Date
This might seem obvious, but dates are one of the most common details people overlook.
Double-check:
- the day of the week
- the numerical date
- the month
- the year
Make sure everything matches your official wedding plans.
3. Event Time
Verify the time of the ceremony and any additional events listed on the invitation or enclosure cards.
Also check:
- AM vs PM
- whether the time is written out or numeric
- spacing and formatting
Small details here can make a big difference.
4. Venue Name and Location
Make sure the venue name is spelled correctly and that the city and state are accurate.
If your invitation includes a full address, confirm that the street name and zip code are correct.
Guests often rely directly on invitation details when planning travel.
5. RSVP Information
If your suite includes an RSVP card or online RSVP instructions, double-check:
- response deadline
- website address or QR code
- spelling of any names
- meal selection options
This helps avoid confusion for your guests later.

6. Grammar and Punctuation
Wedding invitations often follow traditional wording styles, which can make punctuation especially important. Your wedding stationer can help you with this but it’s still essential that you review your proofs with this in mind.
Look carefully for:
- missing periods
- incorrect capitalization
- spacing issues
- formatting consistency
While designers review these details, an extra set of eyes is always valuable.
7. Overall Layout
Finally, step back and review the design as a whole.
Ask yourself:
- Does everything look balanced and easy to read?
- Are all the details included?
- Is anything missing?
This is your opportunity to make sure everything feels perfect before printing begins.

Why Proof Approval Matters
At Raspberry Creative, we never send anything to print without customer approval first. For wedding invitations and larger orders, we use a legally binding contract for print approval. For smaller items, we use a less formal, but equally binding process and formal sign-off from the customer that they approve their proof for printing. This is something we take very seriously.
This step protects both the couple and the designer by ensuring that everything has been reviewed and confirmed before production begins.
Custom stationery is a collaborative process. We carefully design your pieces using the information provided, and the proof allows you to confirm that every detail is correct before the final step.
Taking just a few extra minutes or even having an extra set of eyes look over everything can prevent mistakes and ensure your invitations or other wedding stationery arrive exactly as you imagined.

A Simple Tip
When reviewing your proof, try reading it slowly line by line rather than just scanning the design. When checking spelling, read the invitation backwards so it’s easier to see each word separately rather than breezing through it.
This simple trick helps catch details that are easy to miss at first glance.

Final Thoughts
Wedding invitations are one of the first glimpses guests will have of your celebration, and they become a keepsake of the day for many couples.
Taking the time to review your proof carefully ensures that everything is accurate, beautiful, and ready to set the tone for your wedding.
Those few extra minutes of review can make all the difference.
