One of the most important steps in ordering custom stationery, whether it’s wedding invitations, ceremony programs, signage, or other printed pieces, is the proof approval process.

At Raspberry Creative, every personalized item we print goes through a proofing stage before anything is printed. It’s a non-negotiable part of our process. This step allows our customers to carefully review the design and confirm that all names, dates, times, and event details are correct before production begins.
It’s a step we take very seriously because once an item goes to print, changes are no longer possible without costly reprints.
Recently, I experienced a situation that perfectly illustrates why this step matters so much. I want to share, not to call anyone out, but to illustrate how easy it is so brush off this step to keep things moving, and how costly it can be if not take seriously.

A Real-Life Example
A customer placed an order and submitted the event details that would be printed on the item, including the name and event date.
As part of our normal process, we created a proof using the provided information and sent it for review and approval. The customer approved the proof, and the order moved into production. The finished item was delivered about a month before the event. We never heard anything so we closed out the job and considered it good.
The day after the event, the customer left a negative public review on our storefront with just one line that said we printed the date wrong. She immediately follows up her review with a direct message to me, I think to explain her review or at least address it. She was clearly upset and rightfully so, but in this message, she admitted under no uncertain terms that she didn’t review the full proof becauseause she was focused on making sure her daughter’s name was spelled correctly.
Naturally, even though it was the weekend, I immediately reviewed the order details to see what had happened. Important issues like this are always dealt with as quickly as possible because we genuinely care about our customers and the products we are putting out into the world.
What I discovered was that the date printed on the item was exactly the same date the customer had originally submitted when placing the order, and it was also the same date shown on the proof that had been approved before printing.
Because I’m human, I had an initial emotional response because the customer admitted in her private message that she hadn’t fully reviewed the proof before approving it, and as it turned out, the order was submitted with the incorrect date to begin with. We used this date on the proof and what was printed. We would have had no way of knowing the date was wrong since we printed the date we were given by the customer.
This isn’t a post about airing my grievances though. This is to illustrate the importance of understanding that with personalized items like wedding stationery always have a shared responsibility when it comes to all the details.

Why the Proofing Process Exists
Planning events can be busy and overwhelming. There are so many details to manage, and it’s easy to overlook something.
That’s exactly why the proofing process exists.
Before anything goes to print, a proof allows customers to carefully review every detail so that any corrections can be made before production begins. Even if she hadn’t caught the mistake on the order to begin with, the proof was provided for her to have a final say in what was to be printed.
At Raspberry Creative, we never print anything without customer approval first. That approval step serves as the final confirmation that everything on the design is correct. It protects both the customer and the small business creating the work.

Custom Work Is a Shared Responsibility
When ordering custom stationery, accuracy is something that happens through collaboration.
As designers, we take the information provided, create a thoughtful and beautiful design, and send it back for review. But ultimately, the person who knows the event details best is the customer so they are ultimately responsible for making sure all the details are correct. That’s why reviewing the proof carefully is so important.
Before approving a proof, we always recommend checking every detail:
• Names
• Dates
• Times
• Locations
• Spelling
• Punctuation, Formatting, etc.
Taking just a few extra minutes to review everything carefully can prevent mistakes and ensure that your stationery arrives exactly as intended.

A Foundation of Mutual Respect
Running a small business requires a great deal of care and attention to detail, and we truly value the trust our customers place in us when they order custom or made-to-order work.
We work hard to provide clear communication, a careful proofing process, and beautiful finished pieces for every order.
But custom work also relies on mutual respect and shared responsibility throughout the process.
When both sides take the time to review details carefully and communicate openly, the result is what we all want—stationery that is meaningful, accurate, and ready to be part of a special event.
